The Administrative Assistant will work with the Office Manager, Operations Director, Artistic Director and Creative Producers to provide administrative and operational support to ensure successful coordination and execution of all events programming. Remote administrative work includes artist liaising, schedule creation and maintenance, contract execution and filing, and financial reporting. On-site event support work includes artist liaising, event set-up and tear-down, front-of-house (FOH) support, and other duties as required. TERMS OF EMPLOYMENT Compensation for this position is $17/hour Focus for on-site work with opportunities to work remotely Note that all positions include a percentage of on-site event work 30 hours/week for 9 weeks Occasional evening and weekend hours required Working week of Wednesday through Sunday (Monday/Tuesday Off)

Responsibilities

  • Help maintain master schedules for containR programming
  • Assist with artist, renter and partner contract administration
  • Assist with coordination of Springboard programming, coordinate artist itineraries, accommodations, and schedules as required
  • Involvement in City, partner, artist and sponsor communications;
  • Assist in volunteer recruitment and coordination;
  • Support and collaborate with marketing and public engagement team
  • Assist with grant and sponsorship reporting
  • Maintain containR renter and volunteer contact list
  • Serve as event staff for on-site events as needed (including set-up, tear-down, FOH management, artist liaison and other duties as required)

Qualifications

  • Administrative experience and excellent computer skills
  • Excellent organizational skills
  • Excellent customer service skills
  • Knowledge of Google Workspace, Doc, Sheets, and Forms
  • Basic knowledge of performing arts and venue services
  • Basic knowledge of event technical aspects an asset
  • Valid ProServe an asset
